When the "Use New XML Generation Method" checkbox is enabled on the Document Type Record Page, a special process must be followed to upload an updated document template. This ensures that the associated XML file is correctly regenerated and that all XML tags in your document continue to work as expected.
⚠ Why can't I just use the 'Upload New Version' button? When the "Use New XML Generation Method" option is active, simply uploading a new version does not update the associated XML file. This means any newly added fields in your updated template will not be recognised by the system. To avoid issues, you must delete the old document first and then upload the new one. |
Delete the Old Document
Before uploading your updated template, you must first remove the existing document from the system.

Action |
1 |
Open the Document Type Record Page for the relevant document type. |
2 |
Click View All to display all files attached to the document type. See figure 22. |
3 |
Locate the Word file in the list. Click the dropdown menu next to the Word file. See figure 23. |
4 |
Select Delete from the dropdown menu and confirm the deletion when prompted. |
Upload the New Document
Once the old document has been deleted, you can safely upload the updated version.

Action |
1 |
On the same Document Type Record Page, click the upload button to add a new file. |
2 |
Browse to and select the latest version of your Word document template. |
3 |
Confirm the upload. The system will automatically generate a new XML file based on the XML tags used in your updated template. |
✔ Key Reminder Always follow the delete-then-upload process when the "Use New XML Generation Method" checkbox is enabled. This ensures that only one up-to-date document and its corresponding XML file exist in the system, and that all XML tags in your template function correctly. |
